  • 1.1 This notice is to inform you of our policies in regard to all the information we collect about you.
  • 1.2 This document will refer to Cube-i Ltd as 'we', 'us' and 'are' throughout this notice.
  • 1.3 If there is one or more points in this notice you are not happy with please contact our Data Protection Officer (DPO) with your concerns (see section 9.0 for details).
  • 1.4 We are committed to safeguarding the privacy of our website/application users and visitors.
  • 1.5 Along with our business and internal computer systems, this website is designed to comply with following national and international legislation with regards to data protection and user privacy:
    • UK Data Protection Act 1988 (DPA)
    • EU Data Protection Directive 1995 (DPD)
    • EU General Data Protection Regulation 2018 (GDPR)
    • Australian Privacy Act 1988 (APA)
    This site's compliance with the above legislation, all of which are stringent in nature, means that this site is likely compliant with the data protection and user privacy legislation set out by many other countries and territories. If you are unsure about whether this site is compliant with your own country of residences’ specific data protection and user privacy legislation you should contact our data protection officer (details of whom can be found in section 9.0) for clarification.

2.0 THE LAWFUL BASIS ON WHICH WE PROCESS INFORMATION ABOUT YOU

The law requires us to determine a lawful basis to process information from 6 defined bases.
We define our basis to collect information about you below. If a basis to collect personal information is no longer relevant this notice and our practises will change in line with the law.


2.1 INFORMATION WE PROCESS WITH YOUR CONSENT

  • When you sign up for the BYOD app, we ask for your consent to store cookies on your device through an unticked checkbox. Once consent has been given to store cookies on your device the application will collect information about you. The use of cookies allows the functionality of the application to work correctly and is a necessity. BYOD is an application that allows you to view different information about your event, including agenda’s, speaker biographies, feedback forms, voting questions etc. The application will store your full name and email address. This information is only used to identify you as a contributor to the event / conference and is not passed on to any third-party data processors unless stated in this notice. In some cases, your name will be shared on other attendees of this events device and possible the presentation screen to show that these were your thoughts and comments, but your name will only appear if you have supplied it. Your question / comments and its associated personal data will remain within the app for delegates of this event, until either 1.) automatic removal of all the event data 30 days after the event has concluded or 2.) removal of the event data at the organisers request. Should you wish to have the comment and its associated personal data deleted, please contact the DPO in section 9 using the name that you provided with your questions and votes.

3.0 INFORMATION PROVIDED ON THE UNDERSTANDING THAT IT WILL BE SHARED WITH A THIRD PARTY

Our website/applications allow you to post information through various features. This section outlines what information is collected from these features and how this information is shared with a third-party.

    This information will be forwarded to the Event organiser post event for them to use at their discretion.

4.0 USE OF INFORMATION WE COLLECT THROUGH AUTOMATED SYSTEMS WHEN YOU VISIT OUR WEBSITE/APPLICATIONS

We use a few automated systems that collect data about you and the devices you use. The following points outline what automated systems we use and why we use them.


4.1 SITE TRACKING

  • Like most websites, this site uses Google Analytics (GA) to track user interaction. We use this data to determine the number of people using our site, to better understand how they find and use our web pages and to see their journey through the website.
    Although GA records data such as your geographical location, device, internet browser and operating system, none of this information personally identifies you to us. GA also records your computer's IP address which could be used to personally identify you but Google do not grant us access to this.
    We consider Google to be a third-party data processor (see section 6.0 below).
    GA makes use of cookies, details of which can be found on Google's developer guides.
    Disabling cookies on your internet browser will stop GA from tracking any part of your visit to pages within this website.

4.2 COOKIES

  • Cookies are small bits of information that are placed on your device by your web browser when you visit a website or application. Cookies are used to help websites and applications do various things.
    How we use cookies and why we use them is stated below:
    • To track how you navigate through our website
    • To keep you signed in to our event applications
    • To provide functionality to our event app features
    Should you wish to remove our Cookies usually your device web browser can remove cookies in its settings.
  • If you choose to not use cookies or prevent our applications from using cookies we will not collect any information from you. However, our event applications rely on cookies to perform correctly so you may not be able to access these applications.

5.0 ENCRYPTION OF DATA

All of our data, including personal information, is protected by encryption across our website and event applications.


6.0 DISCLOSURE AND SHARING OF YOUR INFORMATION


6.1 INFORMATION WE OBTAIN FROM THIRD PARTIES

  • Our event applications have features that display personal information. The personal information we are requested to use on our event applications is made by the Event organiser. We will always have consent by the Event organiser to use the personal information on our applications, who will also have a lawful basis to use this information. The information we use from third-parties is stated below.


6.2 WEBSITE NEWSLETTER

    If you choose to join our email newsletter, the email address that you submit to us will be forwarded to MailChimp who provide us with email marketing services. We consider MailChimp to be a third-party data processor (see section 6.0 below). The email address that you submit will not be stored within this website's own database or in any of our internal computer systems.
    If you are under 16 years of age you MUST obtain parental consent before joining our email newsletter.
    While your email address remains within the MailChimp database, you will receive periodic newsletter-style emails from us.

6.3 OUR THIRD-PARTY DATA PROCESSORS

  • We use a number of third parties to process personal data on our behalf. These third parties have been carefully chosen and all of them comply with the legislation set out in Section 1.5

6.4 DATA MAY BE PROCESSED OUT THE EUROPEAN UNION

  • Any personal data from EU nationals processed at an event outside of the EU will not be forwarded or shared with any third-party company. The data will remain within our event application and will adhere to all data protections laws when out of the EU.

7.0 ACCESS TO YOUR OWN INFORMATION


7.1 ACCESS TO YOUR PERSONAL INFORMATION

  • Under Article 15 of the GDPR the data subject shall have the right to obtain from a data controller whether or not personal data concerning the individual are being processed. To comply with Article 15 of the GDPR we will provide confirmation of any information we hold on an individual and can supply copies of any information, should it exist, if requested.

7.2 REMOVAL OF YOUR PERSONAL INFORMATION

  • Under Article 17 of the GDPR is the right to erase. If an individual would like to request that their personal information be erased please contact our DPO. (see section 13.0 for details).

8.0 RETENTION PERIOD FOR PERSONAL DATA


8.1 OUR PERSONAL DATA RETENTION PERIOD

  • Our standard personal data retention period for our website/applications is 30 days unless otherwise stated in this document. After 30 days have passed we erase/pseudo any personal data we hold of you as an identifiable individual.

8.2 WEBSITE NEWSLETTER

    Your email address will remain within MailChimp's database for as long as we continue to use MailChimp's services for email marketing or until you specifically request removal from the list. You can do this by unsubscribing using the unsubscribe links contained in any email newsletters that we send you or by requesting removal via email. When requesting removal via email, please send your email to us using the email account that is subscribed to the mailing list.
    While your email address remains within the MailChimp database, you will receive periodic newsletter-style emails from us.

8.3 EXEMPTIONS

  • In some circumstances, we have to store personal data for longer than our standard data retention period. The exemptions in which we would hold personal data for longer than 30 days are as follows:
    • Website newsletter (must unsubscribe from our list)
    • If an Event organiser requests to store the event data for a longer period.
    • If we are contractually obliged to store the data from an Event organiser we are working with. (In this variant, we would be classed as a data processor on behalf of a data controller).

9.0 USE OF WEBSITE/APPLICATIONS BY CHILDREN

The use of our website is open to anyone but signing up to the newsletter if you are under 16 you will need consent from a parent or guardian. If you believe that a child has signed up to our newsletter by mistake please unsubscribe from the newsletter on one of our emails or contact the DPO for removal of this information from the email list.

The use of our applications by children is restricted to parental consent from them to us. Our applications will not collect personal information from anyone under the age of 16.


10.0 COMPLAINTS

If you have any complaints regarding our website or applications about how we collect, process and store personal information. Please contact our DPO to deal with your complaint. You can email or call our DPO with the details in section 13.

During the complaints procedure, we may ask you for your details which may include personal information in order to satisfy your complaint. Once the complaints procedure is completed all personal information relating to said complain shall be remove from our systems and emails.


11.0 DATA BREACHES

We will report any unlawful data breach of this website's/application's database or the database(s) of any of our third-party data processors to any and all relevant persons and authorities within 72 hours of the breach.
